Basic Policy for Protecting Private Information

The TV TOKYO Group has set forth and is in compliance with the following basic policy on the handling personal information. This policy was put in place to ensure that the rights and interests of private individuals are not infringed upon, given the expanded usage and usefulness of personal information reflecting the development of an advanced information society.
In addition, in accordance with policies to protect personal information in the field of news and literary works, we adequately protect personal information used in news and literary works that is not subject to the mandatory provisions of the Personal Information Protection Law.

1.Legal compliance

We comply with laws, regulations, contracts, and internal rules related to personal information.

2.Handling of personal information

We employ reasonable and fair methods to acquire personal information to the extent necessary. The use of personal information will be made clear at the time it is acquired.

3.Use of personal information

Personal information is used within the scope of clearly stated goals. We shall put forth efforts to maintain accurate and up-to-date content within the parameters necessary for using personal information.

4.Personal information safety management

Essential measures shall be put in place to adequately manage personal information and prevent illegal access, loss, destruction, falsification, or leaks of such information.

5.Oversight of employees and subcontractors

Directors and employees of the Company shall be provided with essential education and awareness on the protection of personal information and oversight shall be conducted to ensure safety management. In cases where the handling of personal information is outsourced, the Company shall select subcontractors that are recognized as being experienced in the proper handling of personal information and shall conduct oversight of these subcontractors.

6.Restrictions on provision to third parties

Personal information, as a general rule, will not be provided to anyone outside of the Company without the consent of the individual.

7.Response to requests for disclosure of personal information

The Company shall in good faith disclose, revise, add or delete personal information as the request of the individual but only after the individual’s identity has been confirmed.

8.Response to complaints

The Company shall quickly and properly respond to complaints regarding the handling of personal information.

9.Handling of information leaks

The Company shall put proper measures in place should problems arise, including the leak, loss, or damage of personal information.

Handling of personal information

The following outlines how TV TOKYO Holdings Corporation handles the personal information it collects.

1.Purpose of use of personal information

As a general rule, the purpose for use of personal information is announced in advance on the TV TOKYO Holdings homepage. In the event that this cannot be announced ahead of time, the purpose of use shall be clearly stated via programming, homepage, pamphlets, questionnaire sheets, and bulletins. Individuals may also be notified of the purpose for use immediately after the personal information has been acquired.
Note that in case the purpose of use has been deemed to be clear, the Company may not make further announcements in this regard.
*The personal information provided to us by viewers and other parties shall be used for the following purposes.

(1)Entries for giveaways, surveys and campaigns

Personal information acquired from entries (for prizes, presents, and also from questionnaires and other sources, and also via the TV TOKYO homepage)

  • Select and send winning entrants prizes and presents
  • Implement surveys of viewer information, etc.
  • Send perks to individuals as thanks for participating in a survey

2.Retention period

(1)Personal informational acquired from viewers via methods such as entries for giveaways and presents, program requests, and other inquiries is, as a general rule, retained for a period of six months after the period of intended usage.
(2)The minimum retention period for personal information other than the information in (1) above shall be made in accordance with set laws and regulations and as required by us for our operations.
(3)After the end of the retention period, the personal information is completely deleted or disposed of.

3.Outsourcing disposal of personal information

The outsourcing of the disposal of personal information is carried out in accordance with internal rules. Subcontractors that are recognized for their safe management of information are selected and proper oversight is conducted.

4.Sharing personal information

The personal information we acquire is jointly used in certain cases by TV TOKYO and its group companies, the TXN network broadcasters and Nikkei Inc. to further improve business activities.

5.Disclosure, revision (addition/deletion), termination of usage (deletion), and termination of provision to a third party

We handle the disclosure, correction, or termination of usage at the request of the individual that provided their personal information or at the request of a third party acting on behalf of the individual. Note that in certain cases personal information acquired for news or literary works cannot be disclosed, corrected, or its usage terminated.

Only applications sent via postal service will be accepted to carefully ensure authentication, including confirmation of identity. *Personal information saved on our server when individuals register to become a member, such as registering to receive email magazines via our homepage, can be changed or deleted using change request forms. This can be done over a special homepage for registered members.

Please attach and send a copy of your driver’s license, passport, health insurance card, or other identification issued by a public organization.

(4)Fees for disclosure requests

The fee per request is ¥500.
Please enclose ¥500 in postage stamps along with your application. Note that other costs that arise will be charged to you.

*You will be contacted if the amount enclosed does not fully cover the fee or if the ¥500 in postage stamps has not been enclosed with your application. However, should payment not be received within a certain period of time, the application will be discarded.

(5)Method for responding to disclosure requests

As a general rule, responses to applicants will be sent in writing to the address on the application form.

(6)Reasons for not using personal data in our possession

Personal information will not be used should any one of the following cases apply. The individual will be notified of the reason the information was not used. Also, the fee must be paid even if the information is not used.

  • The name and address on the application does not match the name and address on documents provided to verify identity (inability to confirm identity)
  • Unable to verify the authority to act on behalf of an individual when an application have been filed by a third party on behalf of an individual
  • Application errors
  • The disclosure request is for information that does not fall under the parameters of personal information retained by TV TOKYO
  • Threat to the life, physical being, assets, and other rights and profits of the individual or a third party or the possibility thereof
  • Considerably hinder TV TOKYO’s business operations or the possibility thereof
  • Personal information acquired for the purpose of news or literary works
  • Other legal violations

We do not accept requests for personal visitations to our Company. We ask for your understanding in this matter.
